4. Delivery

Final files are delivered via direct messages or email (may be sent as a .zip file if multiple files are included).

Each commission includes:
— The final piece (in multiple versions if applicable)
— A watermarked version for public sharing
— An unwatermarked version for personal or private use
— All relevant project files (e.g., PSD, CSP, etc.)

We recommend keeping the original project files if you plan to request edits, refinements, or future updates.

5. Terms of Service

By purchasing any service from Zelvof, you agree to the following terms regarding usage, process, and conduct. These terms are not a legal contract but act as essential guidelines to ensure fairness, clarity, and mutual respect between both parties. Please read them carefully before placing an order.

These terms may be updated at any time. Clients are encouraged to review them periodically to stay informed.

Definitions

  1. Client (Buyer & Owner):
The individual or entity requesting the commission and holding the usage rights granted by the service.

  2. Service Provider (Seller & Producer):
Zelvof — the artist or entity responsible for creating the commissioned work.

  3. Commission(s):
Any custom creative work provided, including illustrations, animation, rigging, design, and related services.

Failure to follow these terms — whether related to usage rights, communication, payment, or privacy — may result in order cancellation, refusal of future commissions, or blacklisting. Further action may be taken in severe cases where necessary.

Copyright

  • Both the client and the service provider hold rights to the commissioned work. While the client retains ownership, it is important to acknowledge the service provider's creative contributions and rights to the commissioned work.

  • In the event of unauthorized or illegal actions, both parties will collaborate to protect the integrity of the commissioned work. Therefore, the client exclusively owns the commissioned work but recognizes the service provider as the producer who invested effort and skill in its creation. The client agrees not to claim sole ownership or distribute the commissioned work to third parties without proper authorization.

Usage

  • Commercial Use: Refers to any use of the commissioned work for profit or potential profit, including use by public or private entities, such as in branding, monetized content, marketing, or products. If the client intends to monetize or generate revenue from the commission, a commercial usage fee is required. This grants the client the right to use the work commercially while ensuring that full ownership remains with the service provider unless explicitly transferred.

  • Personal Use: Denotes usage that is non-commercial in nature and intended for personal enjoyment, display, or casual sharing. This includes posting on social media (with proper credit), personal prints, or use in non-profit projects. The work must not be used in any way that generates income or misrepresents the service provider.

Privacy

  • Both the client and the service provider agree not to publicly disclose any personal information, sensitive data, or private correspondence shared during the course of the project or transaction. The service provider does not collect, store, or have access to any personal payment information such as passwords, credit card numbers, or login credentials. All payment transactions — whether made directly through the website or manually via other platforms such as Paypal, Ko-fi and Wise— are securely handled through their respective third-party systems, ensuring confidentiality and data protection.

  • If a client specifies that a commission is private, the service provider will not share the work publicly under any circumstances. If the commission is approved for public sharing (e.g., for portfolio or promotional use), the client will be credited appropriately using their chosen name: this may be their real name, username, organization/company name, or "anonymous" if preferred. Privacy preferences should be clearly communicated when ordering.

Trademark & Watermark

  • When a commissioned work is shared publicly for any purpose — personal, non-commercial, or commercial — the client is required to include visible credit or a watermark to help deter unauthorized use or theft. If the client wishes to post the piece without any watermark, this must be discussed and approved in advance.

  • The non-watermarked version provided is intended for private use or for integration into larger projects (e.g., games, videos, printed media). Even in these cases, clients are encouraged to include proper credit wherever applicable.

  • If the service provider (Zelvof) is permitted to showcase the commissioned work publicly — such as in portfolios, previews, or social media — Zelvof’s watermark will always be used as the primary watermark. If the client wishes to include their own watermark alongside it, this is allowed but must be discussed beforehand.

  • Clear crediting is expected for any public display, repost, or promotion of the commissioned work.

Modification

  • Fixes, updates, or adjustments to completed commissions can be requested at any time, including for older works. If a project file is needed to make the update, the client must still have the file; otherwise, only minor edits (such as color tweaks or small touch-ups) can be made using the final image. Minor revisions are free of charge, while major updates may require an additional fee.

  • Clients are discouraged from making personal edits to the commissioned work, especially in ways that significantly alter the original. However, if modifications are made by the client, they must not claim the entire piece as their own — only the changes they personally made. It’s always encouraged to consult the service provider for any desired modifications to maintain quality and consistency.

Payment

  • Payment must be made according to the specific instructions provided by the service provider. Do not attempt to calculate or send your own payment amounts — whether it's full or partial, the service provider will always determine the correct total or split.

  • Payments must also be made on time or as agreed upon (e.g., “I’ll pay by this date”). If there’s a delay or issue, the client must inform the service provider. Failure to communicate (i.e., ghosting) may result in the commission being cancelled or ignored, with a maximum wait period of one week. Always stay in touch.

  • Unwatermarked progress updates are only given for portions that have been paid for; unpaid progress will be shown with a watermark to prevent scams. Final files will never be delivered unless the entire agreed-upon payment has been made. As stated in the payment method section, any sort of payment after final delivery is not accepted — this applies to both full and partial plans.

  • Final quotes may include platform fees or small additional charges, but rest assured these are carefully calculated and fair. If the quote exceeds the client’s budget, negotiations are always welcome — the service provider is happy to adjust where possible. Just be honest about your budget up front.

Cancellation & Refunds

Refunds are only issued for incomplete portions of a commission. If payment has been made and a part of the work has been finished, that portion is non-refundable. If a portion is paid for but not yet completed, the client is eligible for a partial refund based on the percentage of progress made. Once a commission is fully completed and delivered, no refunds will be issued.

Clients are free to request a cancellation at any time, but please note the following:

  • Any completed and paid work will be retained by the service provider.

  • If the client cancels an order that has already been paid for but not finished, the client will receive the progress made (in the form of a scrap or partial) and may receive a partial refund based on how much of the order remains undone.

  • In partial payment scenarios, if progress has been made on an unpaid portion, that progress will not be shared with the client until full payment is made. The already-paid amount will be retained to cover the completed work.

  • If payment was made but no work has started yet, a full or near-full refund may be issued, depending on any time or resources already committed.

Delivery

Final files are delivered through the communication channel agreed upon between the service provider and client (e.g., email, social media chat). If there are any issues, concerns, or follow-ups after delivery, clients are encouraged to continue communication through the same channel to resolve them.
